UKG Ready Report Rundown: Availability, Preferences, and Coverage Oh My!

Can you believe it's already the third installment of the UKG Ready Report Rundown? Since launching in October, we've covered all things payroll and ACA. This time, we're throwing some workforce management reports in the mix and focusing on our Advanced Scheduler module. Discover four reports to help you meet the scheduling needs of your people. 

Here's the Rundown: 

An employee's scheduling preferences and availability play a significant role when it comes to overall satisfaction. Scheduling someone when they're unavailable or requested off could lead to bigger issues down the road. Today, we're highlighting three key scheduling reports to help you manage schedules. 

Employee Availability Report

This one is all about your employees' availability. That's right, we're talking about the Employee Availability Report (under Schedule > Reports > Staffing > Employee Availability). The report provides a snapshot of the specific days and times your employees are available to be scheduled, giving managers a strong grasp on who can be scheduled when.

Employee Preferences Report

An employee's availability and when they prefer to work are two different things. Your solution can help you take both into account when scheduling. While the Employee Availability report shows the days and times employees are available to work, the Employee Preferences Report (under Schedule > Reports > Staffing > Employee Preferences) shows, you guessed, when employees prefer to work. You might have several employees who are flexible and available to work all day. But, using the Employee Preferences Report you could see that they prefer to work Wednesday to Sunday from 8:00 a.m. to 4:00 p.m.

Tip: With the Advanced Scheduler module, you can set up a rule that only allows managers to schedule employees during their availability and/or preferences listed on the reports above. Navigate to Settings > Scheduler Setup > Scheduler Settings, select Add Shift Creation Rule and then add the rule Convert Work Time Preferences to Shifts. From there you can check off convert Work Time Availability and/or Convert Work Time Preferences. 

Availability Change Requests Report

Now what happens if an employee needs to change their availability? Life happens, and several different events may cause an employee's availability to shift. The Availability Change Request Report (My Reports > Schedule Reports > Employee Requests > Availability Change Requests) provides managers and admins insight into who has submitted available change requests and the requests processing status. 

The report columns detail: 

  • The time employees are or are not available 
  • Availability status 
  • When an employee’s availability change starts 

Requests for Coverage Report

Our final report is the Requests for Coverage Report. Like we said before, life happens and sometimes employees are no longer available to work their scheduled shifts. Unlike the Availability Change Requests Report (under Schedule > Reports > Employee Requests > Requests for Coverage), this report highlights one-off shift coverage requests. For example, if an employee gets a last-minute doctor's appointment later in the week or their childcare coverage falls through for the afternoon, they can request to have that shift covered. 

In this report, you can see the following: 

  • Who requested a shift coverage 
  • Which shift they requested coverage for 
  • If a manager approved 
  • If the action was performed 

If an employee can work part of their shift, they can also request a partial shift coverage, which is also indicated on the report.
